Coloured stones

Gemstone software built around origin, treatment and carat

A gemstone ERP for coloured-stone dealers, retailers and manufacturers — parcels that split without losing their cost, per-carat rate bands by grade, appraisal records that hold up years later, and a CRM that remembers what a collector collects.

What is gemstone software?

Gemstone software manages coloured stones as graded goods rather than counted units — holding stone type, origin, treatment, colour and carat as structured fields, and pricing from per-carat rate bands instead of a single average. It is the difference between knowing you hold forty carats of sapphire and knowing you hold four unheated Ceylon ovals worth ten times the rest of the parcel.

The hard part is not storage — it is that coloured stones do not grade the way diamonds do. There is no universal scale, value swings on a single word like unheated, and a mixed parcel sorted into three grades becomes three products at three prices. So the system has to carry origin and treatment down through every parcel split, keep memo stones out of your valuation, and record who made each judgement. ZSolTech runs all of it inside the full jewelry ERP system, alongside diamond inventory software and precious metal inventory on one database.

Capabilities

Gemstone inventory management, end to end

Everything from the parcel bought at origin to the appraisal a client keeps.

Origin and treatment on the record

An unheated Ceylon sapphire and a heated one are different goods at different prices. Origin, treatment, enhancement and the lab that called it sit as fields on the stone — because if that information lives in a salesperson's head, it leaves when they do.

See the catalogue

Parcels, lots and singles

Coloured stones arrive as parcels and sell as singles. Split a lot as many times as you need and each child carries its share of the landed cost, so the remainder never quietly ends up overvalued after the best stones have gone.

See parcel costing

Priced per carat, by grade band

Rate bands by stone type, size, colour grade and treatment — so a 12ct commercial tanzanite and a 6ct unheated sapphire are never valued off one average. Revalue a band and every affected lot follows, with the old basis kept.

See valuation

Appraisals and certificates

Record valuations for insurance, probate or resale against the stone, with the appraiser, the date, the basis and the figure. Lab reports attach the same way, and both print onto the document the customer takes home.

Vendor and supplier accounts

Gemstone vendor software earns its place on one report: supplier-wise margin. Every gem supplier carries purchases, returns, memo in and the balance owed, and the margin report shows whose parcels actually sell and at what markup — the number nobody can produce from a stack of invoices.

A CRM that remembers what they collect

Coloured-stone buyers are collectors. Purchase history by stone type, colour preference, size band and budget sits on the customer record, so a new parcel can be matched to the three clients most likely to want it.

Who it is for

Built for people who trade stones, not parts

Coloured-stone dealers

Buying parcels at origin, sorting, and selling singles and calibrated lots to the trade — where cost per carat has to survive three splits.

Gem and jewellery retailers

Carrying loose stones alongside finished pieces, and needing both on one stock report at one valuation basis.

Manufacturers and setters

Issuing stones to job cards and needing the cost and certificate to travel with the stone into the finished piece.

Appraisers and valuers

Keeping a defensible record of who valued what, on what basis, and when — with the document reproducible years later.

FAQ

Gemstone software — common questions

What is gemstone software?

Gemstone software manages coloured stones — ruby, emerald, sapphire, tanzanite, pearl and the rest — as graded goods rather than as counted units. In practice that means holding stone type, origin, treatment, colour grade, size and carat weight as structured fields, pricing from per-carat rate bands rather than a single average, and splitting parcels into lots while the landed cost follows each one down. ZSolTech runs this as part of a full jewellery ERP, so a stone can move from a parcel to a setting job to an invoice without ever losing its cost or its paperwork.

How is gemstone software different from diamond software?

Diamonds grade on a settled, near-universal scale — the 4Cs — so two graders will largely agree. Coloured stones do not. Value turns on origin, treatment and a colour judgement that is partly subjective, and a single word like 'unheated' can double a price. So gemstone software has to carry origin and treatment as first-class fields, support rate bands per stone type rather than one master grid, and record who made the call. ZSolTech handles both: see the dedicated diamond inventory software page for 4C grading and certificate handling.

Is there online software for gemstones business owners?

Yes. ZSolTech runs hosted — you open it in a browser with nothing installed — or on your own SQL Server if you would rather hold the database yourself, or as a hybrid where the database sits in your office and syncs out. Dealers who travel to buy tend to take the hosted option so a parcel can be booked in from a hotel room; dealers on unreliable connections keep the database local. Both run the same software on the same data.

Can it track parcels by origin and treatment?

Yes, and it should be the first thing you test in any demo. Origin, treatment, enhancement type and the certifying lab are fields on the lot, not free text, so you can filter every unheated Burmese ruby in stock in one query. When a parcel is split, those attributes carry down to each child lot — which matters, because a mixed parcel sorted into three grades becomes three different products at three different prices.

Does it handle gemstone appraisals?

Yes. Gemstone appraisal software has to survive being reopened years later, so the record is stored against the stone rather than as a loose document. An appraisal holds the stone, the appraiser, the date, the valuation basis — insurance replacement, fair market, or liquidation — and the figure, with any supporting lab report attached. Because it is stored against the stone rather than as a loose document, the appraisal is still reproducible years later when a client comes back for an insurance renewal or an estate valuation.

Is there a gemstone CRM?

Yes, and for coloured stones it earns its keep more than in most trades, because buyers collect. The customer record holds purchase history by stone type, preferred colours and cuts, size and budget bands, occasions and wishlists. When a new parcel is booked in, you can work back from it to the clients whose history matches — which is a rather more useful definition of clienteling than a birthday reminder.

Can it recommend stones to a customer?

It suggests from evidence rather than from astrology or algorithm. The system surfaces stones matching a client's recorded preferences, price band and past purchases, and flags what is ageing in stock so a salesperson is nudged toward goods that need to move. It will not tell you which gemstone suits someone's birth chart — that is a different kind of software, and we would rather be clear about it than sell you a feature we do not have.

Does it manage gem vendors and suppliers?

Yes. Each vendor carries their purchases, returns, memo stock held from them and the balance owed, with terms and credit limits on the account. Supplier-wise stock and supplier-wise margin reports answer the question most dealers cannot: whose goods actually sell, and at what markup — as distinct from whose goods you buy the most of.

How much does gemstone software cost?

ZSolTech publishes its pricing: $300 per branch per month for Retail, $499 for Professional and $999 for Enterprise, plus $60 per additional user and $199 per additional branch. Stone divisions, parcel costing and the catalogue are in every plan; 4C grading, certificate vouchers and unfix trading are in Professional. There is no per-module charge.
